Audit trail

An e-signature audit trail for every document.

The SignDeck e-signature audit trail records each step of every document: when it was sent, viewed, agreed to and signed, by whom and from which IP address. When it is finished, you get a certificate of completion that lists all of it.

What gets recorded

  1. Step 1Sent

When the document was created and sent, and to whom.

  2. Step 2Viewed

When each signer opened it, with the IP address.

  3. Step 3Agreed

When each signer accepted the electronic disclosure, and which version.

  4. Step 4Signed

When each signer signed, from a link or in person, and when the document was completed.

On the certificate

The document

Title, document ID and the time it was completed, in local time and UTC.

SHA-256 fingerprint

A fingerprint of the finished file. A changed copy no longer matches it.

Every signer

Name, email, role and signing time for each signer, in the order they signed.

Every event

A table of each step with its time, who did it and the IP address.

Stored once

The finished document is stored so it cannot be overwritten.

Download your way

Download the signed document and its certificate on their own or combined in one file.

Questions

Who gets the certificate?

Your team downloads it from SignDeck, on its own or combined with the signed document. Signers get the signed copy.

Does SignDeck check who a signer is?

SignDeck delivers each link by email and records every step. It does not check identity documents, and the certificate says so.

Can a finished document be changed?

The finished file is stored so it cannot be overwritten, and its SHA-256 fingerprint is on the certificate, so any altered copy shows.
